JOB DETAILS:
Responsibilities
Reporting directly to the General Coordinator, the Grants & Reporting Manager is responsible for grant management, writing quality proposals, reports, and project development material. He / she works in close collaboration with the country coordination team, and ensures compliance with the donor’s requirements, rules, and regulations.

The Grants Officer works in close collaboration with the Country Coordination team composed of the following coordinators: Harm Reduction, SRHR, Support (Administration, Finance, Logistics), Advocacy

The main responsibilities are:
FUNDRAISING & GRANTS MANAGEMENT:
• To provide technical support in fundraising, donor relations and engagement.
• To research potential grant opportunities from various sources, including UN agencies, and foreign missions (embassies), and maintain close coordination with the HQ grants department.
• To keep donor mapping updated reflecting key details such as grant opportunities, deadlines, application requirements etc.
• In collaboration with General Coordinator, to organize meetings, follow up with potential donors.
• Represents MDM in different forums and meetings related to grants and fundraising, as requested or approved by the General Coordinator.

PROJECT DEVELOPMENT:
• To oversee the entire management cycle, including proposal writing, reporting, amendments, partnership management and follow up, as well as starting and closing of a grant.
• To manage the overall development of grant proposals through clear planning, assigning responsibilities, and ensuring meeting deadlines.
• To monitor and track the progress of submitted grant applications, ensuring timely follow-up and adherence to reporting requirements.
• To initiate proposal writing, preparing budgets, and gathering necessary supporting documents.
• To work in close collaboration with the program, logistics, HR, and finance departments, to ensure consistency among the different components of proposals – i.e. log frame, budget, procurement needs, narrative, etc.
• To collaborate with team members to gather information and data required for grant applications.
• To participate in grant-related meetings, discussions, and strategy sessions to contribute ideas and insights.

STRATEGY, COORDINATION AND REPORTING:
• Based on Country Strategy, the Grants and Reporting Manager contributes to the development of funding strategies and relevant action plan
• To ensure adherence to donor procedures/guidelines, deadlines, including developing and disseminating draft plan to relevant staff.
• To be responsible for stakeholder reporting (donors, local authorities, etc.) by maintaining a reporting calendar, and ensuring timely submissions.
• To ensure timely submission of reports to HQ.
• To follow up on mission-level reporting and ensure that documents are submitted on time.
• To take the lead in the reports writing (non-technical aspects), and coordinate with different departments to compile contributions, and ensuring the overall narrative is cohesive and harmonized.
• To work in close collaboration with the program, logistics and finance departments, to ensure consistency among the different components of the reports.
• To act as a focal point for report-related queries, e.g. templates and compliance, in collaboration with the Program Support Officer in HQ.
• To organise the development of fundraising materials, presentations, infographics and other communication materials as needed.
• To offer technical guidance to the general and program coordinators in the preparation of partnership agreements, Memorandum of Understanding (MoU), donor compliance, project cycle management etc.

CONTEXT
For more than 30 years, Médecins du Monde (MDM), a campaigning health organization committed to international solidarity, has been caring for the most vulnerable populations at home and abroad. It has continued to highlight obstacles that exist in accessing health care and has secured sustainable improvements in health-for-all policies. Those working for this independent organization do not solely dispense care and treatment but condemn violations of human dignity and rights and fight to improve matters for populations living in precarious situations. MdM currently works in 44 countries across all continents where it focuses on 4 priority areas: caring for the health of migrants and displaced persons, promoting sexual and reproductive health, harm reduction associated with drug use, emergencies, and crisis.

SKILLS REQUIRED
Training & Experience
• Master’s degree in the following or related field: social sciences, humanitarian or development studies, political sciences, international relations, etc.
• At least 4 years of experience in a similar role.
• Experience in writing proposals/reports.
• Demonstrated experience in coordinating and preparing quality narrative and financial reports for a variety of donors.
• Experience developing and working with project budgets.
• Understanding of international donor compliance.
• Experience in humanitarian and development context highly appreciated.
• Experience in multi-donors’ budgets and multi-countries grants.

• Excellent level of communication both written and oral.
• Excellent Organizational skills, including time management, and the ability to meet deadlines.
• Ability to work in an autonomous manner.

Hard skills
• IT: Knowledge of Windows environment and excellent experience with Microsoft Office

Languages:
• Fluent English and Swahili

EMPLOYMENT CONDITIONS
Contract Type: Fixed Duration
Duration: 12 months, (1-year period), renewable.
