JOB DETAILS:
The Kilimanjaro Christian Medical University College is a constituent College of Tumaini University Makumira, owned by the Evangelical Lutheran Church of Tanzania. The College trains health professionals for various University awards in clinical, biomedical and allied health sciences. It currently wishes to recruit competent and committed human resources to fill the following vacant positions.
ADMINISTRATIVE OFFICER GRADE I (1 Post)
Educational Qualifications:
Bachelor’s Degree in Public Administration, Business Administration, Management, Human Resources Management, or any other equivalent/relevant qualifications from a recognized Institution.
• Working Experience: At least five (5) years working experience in a similar position at any recognized Higher Education Institution.
Knowledge, skills, and abilities:
1. Knowledge of administrative principles and practices.
2. Knowledge and experience in using Student Information Management Systems.
3. Excellent written and verbal communication skills using a variety of media
4. Minute-taking and report-writing skills.
5. Sound computer skills including proficiency in the use of MS Excel, Word and MS PowerPoint.
6. Ability to keep detailed and accurate student records.
7. Able to exhibit a high level of confidentiality.
8. Ability to communicate with staff at all levels and with students from a diverse range of cultures and backgrounds.
1. Ability to work under pressure and prioritize tasks to meet tight deadlines.
Duties and Responsibilities:
The selected candidate shall work in the Institute of Public Health as an Administrative Officer, and his/ her duties and responsibilities shall include, but not be limited to, the following:
1. Handling of all administrative duties related to the Institute of Public Health in liaison with the Director.
2. Making arrangements required to facilitate teaching, learning, and examinations for students in liaison with respective Programme / Subject Co¬ordinators and Examinations Officer.
3. Organising and monitoring availability of teaching and learning materials – lecturers, classrooms, laptops, beamers, whiteboards, marker pens, public address system, student hand-outs, student evaluations, student assessments, etc.
4. Maintaining a database of students by programme, year, and gender.
5. Compiling and maintaining records of examination results.
6. Preparing meetings related to the Institute of Public Health.
7. Writing minutes of meetings chaired by the Director of the Institute of Public Health.
8. Liaising with the admissions department to receive and document all applications received for IPH postgraduate programmes and short courses.
9. Organising timetables for all postgraduate courses developed and run by the IPH.
10. Preparing and disseminating all announcements for the short courses conducted by IPH.
11. Coordinating the logistics for external lecturers, including communications, confirmations, travel, payments, etc.
12. Working with IPH teaching staff to prepare, advertise and coordinate all short courses run by IPH.
13. To develop and maintain an active Alumni of all graduates from IPH programmes and courses.
14. Participate in the preparation of annual budget proposals.
15. Resolve with Finance and Accounts Department, discrepancies in periodic budget reports for the Faculty.
16. Participate in recruiting, selecting and appointing candidates to vacant positions in liaison with the Human Resources Management and Administration Department.
17. Participates in annual staff performance appraisals.
18. To administer any grants as directed by the Director of IPH.
19. To liaise with the College Bursar on all matters concerning IPH accounts.
20. Arranging student projects and placements with external partners.
21. Provide administrative support to other staff members.
22. Perform any other related duties as may be assigned by the Director of the Institute of Public Health and other senior College officials.
Remuneration for the Post
Competitive and attractive package of salary and fringe benefits will be offered to the successful candidate.
