Purpose of the Job
The Finance & Administration Manager will manage and lead the Finance and Administration Department to ensure efficient financial management and streamlined administrative operations, adhering to regulations. The goal is to align the organization’s financial operations with strategic objectives to ensure long-term sustainability and viability of Kilimo Trust.
Responsibilities
Financial Management
• Manage proper, accurate, and timely recording of all financial transactions using Kilimo Trust’s accounting software.
• Compile and submit accurate monthly, quarterly, and annual financial and management reports.
• Provide financial insights to aid decision-making, supporting management and the board in achieving strategic goals.
• Lead the budgeting process, developing, reviewing, and finalizing budgets aligned with organizational objectives.
• Maintain and reconcile the general ledger, accounts payable, accounts receivable, and payroll.
• Recommend benchmarks for measuring financial performance.
• Ensure effective grant reporting and reconciliation in compliance with donor/funder guidelines.
• Monitor and report on financial performance across the organization, subsidiaries, and projects.
Leadership and Relationship Management
• Manage financial relations with donors, ensuring timely and high-quality reporting as per grant agreements.
• Conduct regular training for staff and implementing partners on financial procedures and reporting.
• Provide financial advice to the CEO and Team Leaders to inform business decisions.
• Supervise and develop staff in the Finance and Admin Department.
Audit, Compliance, and Risk Management
• Regularly review and update Kilimo Trust’s financial, risk, and procurement manuals to ensure compliance with best practices and international standards.
• Promote effective risk management and ensure compliance with statutory financial regulations across all country offices.
• Manage the processes for internal and external audits as per regulatory requirements in each country of operation.
• Update financial control systems to enhance financial management and oversee all tax-related activities.
Program Development, Planning, and Implementation
• Participate in fundraising by preparing project budgets and identifying fundraising opportunities.
• Analyze and report on monthly expenditure, advising team leaders on variances and suggesting corrective actions.
• Conduct field visits to assess financial procedures among partners/grantees.
Administration and Operations
• Supervise and optimize administrative, procurement, logistics, and office operations.
• Develop policies, procedures, and internal controls.
• Manage contracts and service agreements with external vendors, ensuring organizational resources are safeguarded.
Key Performance Indicators
• Unqualified Audit results for the organization and its projects.
• Timely and high-quality financial reports submitted to management and donors.
• Accurate and timely submission of proposal budgets to funders.
• Maintain cost overruns within 5% of approved budgets.
• Ensure robust internal control systems and safeguard all assets.
• Secure new projects from donors/funders.
• Maintain a functional risk management system.
Competencies Required
• Excellent leadership and strategic thinking skills.
• Strong analytical and problem-solving abilities.
• Proficiency in financial analysis, proposal preparation, and budget formulation.
• Expertise in donor financial policies and procedures, especially for USAID-funded programs.
• Proficient in grant management, Odoo ERP, and deadline management.
• Outstanding verbal and written communication skills.
Educational Qualifications and Experience Required
• CPA or ACCA qualification.
• Minimum of seven years’ experience in senior management positions, particularly as head of finance in an NGO.
• Membership in the Institute of Certified Public Accountants of Uganda (ICPAU).
• Experience in regional organizations is an added advantage.
