JOB DETAILS:
Job title: Finance and Administration Officer
Location: Dar es Salaam / Zanzibar
Reporting to: Senior Finance and Administration Officer

Position Summary
The Finance and Administration Officer delivers financial, administrative, and management support to the Swiss TPH Tanzania Office to ensure smooth operation. This role includes providing daily financial and operational support, reviewing financial documents, and managing accounts payable.

This position will be closed on December 6th, 2024

Finance Roles and Responsibilities
• Handle cash and bank payment vouchers required for daily financial transactions.
• Update cashbooks daily to reflect the true status of the existing bank balance in all currencies.
• Maintain a register of all project non-expendable property and ensure the safety of the project's inventory.
• Review daily expense reports and other project expenses to ensure adequate documentation, allowability, allocability, and reasonableness.
• Track and examine documents such as vendor and consultant invoices, as well as staff claims, to ensure completeness, reasonableness, accuracy, validity, and relevance to programs.
• Ensure the correct use of project numbers, account codes, and appropriate exchange rates.
• Process payments to vendors through Internet banking.
• Manage staff salaries and ensure that tax and all other statutory payments are made each month before the deadline.
• Collaborate with other finance staff to prepare Banana monthly financial reports, conduct bank reconciliations, and review all financial reports before submission to the Senior Finance and Administration Officer.
• Scan financial documents daily and store them on the proper drive.
• Participate in project audits, annual audits, or any specific financial or Internal Control Reviews (ICRs).
• Provide financial management support to program activities in accordance with Swiss TPH financial policies and procedures.
• Travel frequently to Zanzibar to support project activities.

Administration Roles and Responsibilities
• Assist technical staff in preparing for meetings, workshops, and presentations.
• Assist with booking travel arrangements and logistics for staff and participants.
• Organize accommodation for workshop and training participants.
• Prepare, compile, and print documents and materials for workshops, training sessions, and meetings.
• Manage logistics and flow during training, including communication with facilitators, transport arrangements, venue setup, and liaising with vendors regarding any concerns.
• Follow up on registration sheets and other relevant documents during training or workshops, ensuring they are correctly filled for record-keeping.
• Identify any issues arising during training or workshops and report them to the respective head of the training venue.
• Prepare a mobile payment disbursement plan and reconcile payments after disbursement against statements.
• Assume additional duties as assigned by supervisors to ensure the efficient functioning of the office.

Required Qualifications
• Bachelor’s degree in Accounting, Finance, or a Master of Business Administration from a recognized institution.
• A minimum of five (5) to six (6) years of relevant experience in finance or accounting within a Non-Governmental Organization (NGO).
• Strong communication and interpersonal skills, with excellent written and oral abilities. - Proven ability to effectively interact with staff at all levels.
• In-depth knowledge of Tanzanian income tax regulations.
• Proficiency in Microsoft Office applications, including Excel, Word, and PowerPoint.
• Familiarity with Banana accounting software.
