Who are you
• You are detail-oriented and highly organized, ensuring all administrative tasks are completed efficiently.
• You have excellent communication skills, both written and verbal, and can handle inquiries professionally.
• You are passionate about supporting the HR team and ensuring smooth HR operations.
• You go to sleep at night dreaming about making a positive impact in HR processes and procedures.
What you’ll do
• Provide administrative support by entering, formatting, and printing HR related information.
• Assist HR members in handling and logging phone calls to the general inquiries phone line in a respectful and accurate manner.
• Scan, copy, and file all HR-related documents (e.g., contracts, letters, forms) both in soft and hard copies.
• Assist in preparing and analyzing monthly time and attendance reports for Managers and Senior Managers.
• Organize and maintain HR clearance files, assist in archiving employees’ files of more than five years, and ensure all records are easily accessible.
• Draft letters for employees regarding pension funds, banks, confirmation of employment, and certificates of service as needed.
• Prepare and conduct certificate verifications for new and current employees, keeping your supervisor informed.
• Assist in ensuring renewal letters and employment contracts are dispatched and returned promptly.
• Assist in the onboarding process of new employees.
What we’re looking for
• A diploma or degree in Human Resources, Business Administration, or a related field.
• At least 2 years of experience in an administrative or HR role.
• Proficiency in Microsoft Office Suite and HR Management Information System.
• Strong organizational and time management skills.
• A collaborative work ethic and the ability to work well within a team.
