Job Summary:
As the Procurement and Admin Coordinator, you will play a crucial role in ensuring the smooth and efficient operation of our procurement and administrative functions. You will be responsible for coordinating procurement activities, managing vendor relationships, and overseeing day-to-day administrative tasks to support the organization’s operations.
Key Responsibilities:
Procurement:
• Develop and implement procurement strategies to meet the organization’s needs.
• Identify and evaluate potential suppliers, negotiate contracts, and manage vendor relationships.
• Maintain accurate procurement records and documentation.
• Ensure compliance with procurement policies, regulations, and ethical standards.
• Monitor market trends and product availability to make informed procurement decisions.
• Collaborate with various departments to understand their procurement needs and requirements.
• Prepare and analyse procurement reports to track spending and identify cost-saving opportunities.
Administration:
• Manage and organize office operations, including maintaining office supplies, equipment, and facilities.
• Supervise administrative staff and allocate tasks as necessary.
• Assist in the onboarding of new employees and maintain personnel records.
• Handle travel arrangements and logistics for staff when necessary.
• Support in the planning and coordination of company events and meetings.
• Manage office budgets and expenses, ensuring cost-effectiveness.
• Maintain a safe and clean working environment.
• Handle general administrative tasks such as filing, data entry, and correspondence.
Qualifications:
• Bachelor’s degree in Business Administration, Procurement, or a related field.
• Proven experience in procurement and administrative roles, with at least [3 years] of relevant experience.
• Strong knowledge of procurement processes, vendor management, and contract negotiation.
• Excellent organizational and time management skills.
• Proficiency in using procurement software and Microsoft Office Suite.
• Strong interpersonal and communication skills.
• Attention to detail and problem-solving abilities.
• Ability to work independently and as part of a team.
• Knowledge of relevant regulations and compliance standards.
